Trade fair stands and event installations — where to start

At a fair you have a few seconds to stop someone who is already there for your industry. How to design a stand that does it — and what is left afterwards.

A fair is a different league from a sign above the door

A facade sign works on a random passer-by. At fairs, exhibitions and industry events it is the reverse: the people gathering there are already interested in the field and came to compare offers. It is the best audience a company can get in one place — and the most demanding, because dozens of competitors stand next to you.

That is why we treat exhibition stands as direct marketing that builds recognition outside the classic advertising channels. It is not about a pretty wall, but about telling the person walking past, within seconds: this is the company you were looking for.

Where we start: understanding the company, not a sketch

The first stage is not a graphic design. We start by understanding the company, its business profile and its audience — only then does the design come. A cosmetics brand at a consumer fair is designed differently from a machinery maker at an industry event, where a conversation at a table and samples matter more than a crowd.

That conversation settles decisions that are hard to undo later: how much space for product display, how much for meetings, where the counter goes, whether a storage nook is needed. Only then do we lay the visual identity and the lighting on top.

Three jobs of a stand: stop, invite, be remembered

Stop — be visible from the aisle, not only up close. A tall element, light and a legible name do that. Invite — do not wall yourself off from the aisle with a counter; an open entrance zone and something to see or touch holds people longer than a leaflet. Be remembered — that is the job of one strong element people photograph and talk about.

A good stand combines quality of execution, originality and functionality. Each of the three alone is easy; the difficulty is not sacrificing function for effect, or the other way round.

Light at fairs and events — neon and 3D letters as a magnet

Hall lighting is even and flat, so every light source of your own draws the eye. For Sephora, marking the brand's 25th anniversary, we built an event wall with 3D letters and neon, complemented by LED neon rings and an LED neon comb — elements that separate the installation from its background at a distance and become a photo backdrop up close.

Indoors, including on stands, LED neon is the right choice: lighter, faster to make and cheaper than glass, and indoors it faces no weather at all. We keep glass neon for elements meant to work for years — for instance when the piece moves to an office or showroom after the fair.

Multimedia and elements that engage

A screen, an animated neon, an element lit in sequence — multimedia solutions raise the appeal of a stand, but only make sense when they communicate something. A screen showing projects or the production process works; a screen looping a logo is merely an electricity cost.

The best engaging elements are simple: something to switch on, turn, photograph. Sephora's neon rings are a good example — an object guests take photos beside.

Outdoors and large format: gates, festivals, city events

Open-air events follow different rules from a hall: the element must be visible from afar, withstand wind and rain, and be installed and dismantled in a short window. For Łódź Summer Festival we built an entrance gate of 3D channel letters — a structure that was both the signage of the entrance and a natural backdrop for photos.

For such projects we choose materials as for a facade: weather-resistant, on a solid structure. Letters made in the workshop travel to the site ready to be set up.

Event installations beyond fairs

A stand is only one form. We also take on unusual commissions beyond the standard offer: event installations, signage for food trucks and mobile units, interior decorations and artistic projects. For the Museum of Polish History we created suspended neon installations — geometric orbits in white neon light that are part of the scenography, not a sign.

What these commissions share is work from concept to on-site installation, in one team. For an event with a fixed opening date and hour, no middlemen means something concrete: when something must change at the last minute, the decision is made in the workshop, not down a chain of subcontractors.

Logistics: the installation window, transport, dismantling

A fair organiser usually allows a dozen or more hours to set up a stand and even less to take it down. So everything that can be done is done earlier in the workshop, and what travels to the site is a structure ready to assemble. We handle logistics and set-up smoothly, in contact with the client at every stage — including dismantling after the hall closes.

We use our own transport. That matters for glass and illuminated elements, which do not travel well as an ordinary courier parcel.

What remains after the fair — elements for reuse

A well-designed stand does not end its life after three days. 3D letters with the name, a neon with the logo or an illuminated decorative element can be dismantled and hung in an office, showroom or reception — provided that is planned at the design stage, with the right technology and fixings.

Glass neon is the best example: craftsmanship that lasts for years while keeping its full colour. An element made for one event can become the company's permanent signage, and the cost of the stand then spreads over years.

Stand, installation or gate — what suits which event

Not every event needs a full stand. Sometimes one strong light element is enough, sometimes entrance signage. Three typical situations below.

What to prepare to get a design and a quote
